1. Who We Are The Dad Social ("we", "us") is a community group based in Burgess Hill, UK. We are the "Controller" of the personal data you provide to us.

 

2. Data We Collect We collect the following information when you join or sign a waiver:

  • Identity Data: Name, Date of Birth (if applicable).

  • Contact Data: Email address, Phone number, Emergency Contact details.

  • Health Data (Special Category): Information regarding physical readiness or medical conditions relevant to walking/activities, provided strictly for safety purposes.

 

3. How & Why We Use Your Data

  • To Manage Membership & Safety: We process your name, contact info, and signed waivers to ensure you are cleared for operations and to manage risk during events.

    • Lawful Basis: Contract (you cannot join the walk without this) and Legal Obligation (duty of care).

  • To Send Squad Updates: We use your email to send details about upcoming walks, socials, or schedule changes.

    • Lawful Basis: Legitimate Interests (running the community) or Consent (where you have opted in).

  • Health & Safety: We process health data solely to ensure your safety during events.

    • Lawful Basis: Explicit Consent (given when you sign the waiver).

 

4. Data Sharing We do not sell your data. We share data only with trusted third-party service providers who help us run the club, specifically:

  • Wix.com: Our website and database provider (Data Processor).

  • Emergency Services: In the rare event of a medical emergency during a walk.

 

5. Data Retention

  • Liability Waivers: We retain signed waivers and associated health data for 3 years from the date of the event, in line with the UK limitation period for personal injury claims.

  • Mailing List: We keep your email for updates until you unsubscribe or ask to be removed.

 

6. Your Rights Under the UK GDPR, you have the right to:

  • Access the personal data we hold about you.

  • Request Correction of inaccurate data.

  • Request Deletion ("Right to be Forgotten"), provided we do not need to keep the data for legal defense (e.g., the 3-year waiver rule).

  • Withdraw Consent for marketing updates at any time.
